Events Manager (Part-time)

Location: Remote, UK-based, with travel across the UK for events
Commitment: Flexible 2 days per week (6 month contract)
Remuneration: Dependent on experience

The British Sauna Society is the UK’s voice for authentic sauna culture. We’re a not-for-profit social enterprise working to raise awareness of the health, social and cultural value of sauna, connect a growing community, and support high-quality sauna development across the UK.

The role.

The Events Manager, working alongside the Directors, will be responsible for planning, coordinating, and delivering high-quality events for the British Sauna Society, including annual summits, competitions, and regular community engagement activities. This role requires a highly organised, proactive individual with strong project management skills, an eye for detail, and a passion for sauna culture.

The role involves overseeing national events such as:

  • Sauna Summit – Annual flagship event with workshops, panels, and networking opportunities.

  • Aufguss WM National Qualifiers & UK Participation – Coordination of heats leading to international competition.

  • Herbal Cup National Qualifiers & UK Participation – Herbal infusion and wellness-focused sauna competition.

  • Modern Classic Sauna Competitions – National qualifying round culminating in Global finals.

  • Additional Pop-Up & Community Events – Smaller sauna events, workshops, or wellness gatherings throughout the year.

Key responsibilities.

Event Planning & Delivery

  • Plan, coordinate, and execute all British Sauna Society events from concept to completion.

  • Manage event logistics including venue selection, scheduling, catering, equipment, and staffing.

  • Liaise with directors, competitors, judges, sponsors, and partners for competition events.

  • Oversee registration processes and ticketing systems for events.

  • Ensure health and safety compliance across all events.

  • Produce post-event reports and evaluations to drive continuous improvement.

Competitions Management

  • Coordinate national qualifying events for competitions (Aufguss WM, Herbal Cup, Modern Classic).

  • Maintain relationships with international competition bodies and ensure adherence to rules and standards.

  • Manage competitor communications, schedules, and results tracking.

Stakeholder Engagement

  • Act as the primary point of contact for event sponsors, partners, and participants.

  • Collaborate with marketing and communications teams to promote events.

  • Build and maintain strong relationships with sauna clubs, wellness centres, and industry professionals.

Administrative & Operational Tasks

  • Manage event budgets, invoices, and financial reporting.

  • Maintain detailed event documentation, timelines, and contact lists.

  • Coordinate volunteer teams and event staff.

  • Monitor and report on KPIs and event attendance metrics.

Daily Tasks

  • Respond to emails and enquiries from participants, partners, and vendors.

  • Coordinate with internal teams to track progress on upcoming events.

  • Update event calendars, schedules, and task lists.

  • Manage social media and marketing updates for upcoming events.

  • Handle operational queries from venues or suppliers.

Weekly Tasks

  • Hold planning meetings with internal teams for upcoming events.

  • Track budgets, expenses, and payments for current events.

  • Liaise with competitors and judges for national qualifying events.

  • Review and update risk assessments and compliance documents.

  • Draft and distribute event communications, reminders, and briefings.

Skills & experience.

  • Proven experience in events management, ideally with national or international exposure.

  • Excellent organisational, time management, and project coordination skills.

  • Strong interpersonal and communication abilities.

  • Experience in budgeting and financial management for events.

  • Familiarity with competition management, ideally in wellness, sport, or cultural events.

  • Ability to work independently and manage multiple projects simultaneously.

  • Passion for sauna culture and wellness is highly desirable.
